Inaugural Meeting: July 2024
We’re forming a new Resident’s Association and we’d love for all residents to be involved.
There have been residents’ associations in the past but not for a few years, so we want to set one up again. There are still people living on the estate that have been part of past associations and from whose experience we hope to benefit. We also welcome fresh ideas from newer residents! To get going the first step is to set up a committee.
All residents will have the chance to vote for the new committee at the first meeting:
OBJECTIVE — To meet neighbours and vote in the new committee.

About the residents’ association committee
Previous committees have comprised one chairperson and one representative from each phase, totalling four. But because many residents work full-time and have other responsibilities, the committee may be slightly larger this time round to help spread the workload.
Roles and responsibilities
The Committee
The committee are a group of people elected by the members of the Residents’ Association at an open meeting. The committee are responsible for running the Residents’ Association, organising general meetings for all members and an annual AGM to elect officers. Key responsibilities are:
- Set up the association, define the way it’ll be run (a constitution) and communicate with all residents so everyone is clear what to expect.
- Act as a single voice, accurately representing the views of the 80 households with the management company.
- Bring more transparency on how things are run and the rules and regulations of the estate, now and as they evolve.
- Ensure that all contracts and agreements with the management company and any contractors are in the best interests of the residents, and that all parties are fulfilling their responsibilities.
- Review bills and key communications from the management company to ensure they’re accurate prior to them being sent to all residents and challenging them if there are errors.
The Chair
The Chair is the person who guides the Association to achieve its aims and conducts the meetings. They are responsible for:
- Ensuring a fair discussion of issues and all residents are properly represented.
- Ensuring agenda items are discussed, that people keep to the subject under discussion in an orderly manner and that a decision is made.
- Having a casting vote in the event of a tie.
Phase Reps
The reps are the people who represent the residents in their area – phases 1, 2, 3. They are responsible for:
- Attending meetings and representing residents’ views
- Casting a vote on behalf of their residents
- Communicating with their residents before and after meetings
